Office Manager & Support Lead to Summa Equity

Summa is looking for an Office Manager & Support Lead to take ownership of our Stockholm office operations and lead a dynamic support team across the organization.

Role description
As Office Manager & Support Lead, you will be responsible for the smooth day-to-day operations of our Stockholm office while also leading and developing our Support Team. This dual role combines practical, hands-on office management with broader leadership responsibilities across our organization’s support functions. Your work will enable employees and partners to stay focused on what they do best — supported by smooth, well-coordinated operations and thoughtful administrative structure.
Office Manager tasks
- Oversee daily operations and ensure the Stockholm office runs smoothly
- Manage general administration, supplier coordination, and office budgets
- Handle invoicing and maintain oversight of social and operational budgets
- Coordinate food, beverage, and office supply needs
- Prepare meeting rooms and maintain a welcoming, professional office environment
- Plan and execute internal events and larger team gatherings/kick-offs
- Manage onboarding logistics such as IT access, equipment, and subscriptions
- Provide day-to-day administrative support to the leadership team (e.g. presentations, email and calendar support, documentation)
Support Lead tasks
- Set clear expectations between leadership and the Support Team regarding scope and delivery of support
- Foster a proactive and service-oriented mindset across the team
- Lead recruitment, onboarding, and coverage planning for support staff
- Collaborate with the COO to ensure consistent and efficient support across the organization
- Define and implement best practices to align ways of working within the Support Team
- Establish and maintain a
company-wide annual meeting structure

You bring structure, efficiency, and a hands-on mindset to everything you do. With strong attention to detail and a proactive approach, you thrive in dynamic, people-focused environments. You’re a natural collaborator and communicator who enjoys identifying needs, taking initiative, and helping others succeed. While not necessarily in a formal leadership role, you’re confident in guiding others and aligning teams toward shared goals.
We believe the right candidate:
- Has experience as an Office Manager and/or Executive Assistant
- Has worked in fast-paced, service-oriented settings
- Is structured, solution-oriented, and comfortable with operational tasks
- Communicates fluently in Swedish and English
- Has excellent collaboration skills and a strong service mindset
- Manages multiple tasks and priorities with ease
- Is confident supporting and guiding teams without formal authority
- Is proficient in MS Office and administrative tools
- (Bonus) Has experience in professional services or partner-led organizations (e.g. consulting, finance, law)
- (Bonus) Has experience in team leadership or coordination
